Privacy policy
Effective 17 October 2026.
Playbook Journals is run by Aileron Enterprises Pty Ltd as trustee for the O'Connor Family Trust, trading as Playbook Journals, ABN 50 700 638 326, PO Box 1335, Goondiwindi QLD 4390, Australia ("we"). We follow the Australian Privacy Principles in the Privacy Act 1988. We only collect what we need to make and send your journal.
What we collect
- Order details: your name, email, phone (optional, for the courier), shipping and billing address, and what you bought. Payments are handled by Shopify Payments. We never see or keep your full card number.
- Your journal answers: the name for the cover, life stage, pillar order, goals, money focus, training level, habits, quote style, your "why", and your cover choice. For couples and families: names and the shared goals you enter.
- Optional sensitive answers: any injury or limit, and a faith-based quote choice. These count as sensitive information. They're always optional, and we only use them, with your consent, to adjust your journal.
- Children's details, only from a parent or guardian, with consent. For a kids' journal we collect only the child's first name, age band (6-9, 10-13 or 14-17), girls' or boys' edition, and interests (e.g. "footy, drawing"). Nothing else: no surname, birthday, school, photo or contact details. We don't collect information directly from children. If extra details are typed in by mistake, our system removes them before the book is built.
- Website and advertising data: cookies and similar technologies record how you use our site. See "Cookies, analytics and advertising" below.
How we use it
- To build, check, print and ship your journal (and later volumes on an annual or subscription plan).
- To contact you about your order: confirmations, the "build your journal" link, check-ins before each new volume, tracking and support.
- To send marketing emails, only if you opt in. You can unsubscribe in every email.
- To measure our advertising and show our ads to people likely to be interested (see "Cookies, analytics and advertising" below).
- We don't sell your information. We never use your journal answers, or a child's details, for advertising or for profiling.
- Automated tools: we use rules, and may use automated tools, including AI services, to choose and order content from our own checked library to suit your answers. Children's details are never sent to AI services. A person checks every book before it's printed.
Who we share it with
Only the service providers who help us fill your order, and only what each one needs:
- Shopify (store, checkout, payments).
- Lulu Press (printing and shipping). Lulu receives your print files and shipping address and may print in Australia, the US or Canada.
- Cloudflare (secure storage of answers and print files, and our website).
- Cardly (posted gift cards: the recipient's name, address and your message).
- Meta Platforms (Facebook and Instagram advertising: website activity and hashed contact details only, as described below).
- Our email provider.
Some of these providers (including Shopify and Meta) store or process data outside Australia, mainly in the United States, Canada and Ireland. We choose providers with strong security and contracts that protect your information.
Cookies, analytics and advertising
- Shopify cookies and analytics. Shopify sets cookies that keep your cart and checkout working; these are needed for the store to run. Shopify's own analytics also records things like pages viewed, the device and browser you use, roughly where you are (from your IP address) and what you buy, so we can see how the store is used.
- Meta pixel and Conversions API. We use Meta's pixel on our website, playbookjournals.com, and on our Shopify store, and Meta's Conversions API through Shopify's Facebook & Instagram app, to measure our Facebook and Instagram ads and to show them to people likely to be interested. The pixel runs in your browser and sets Meta's cookies; the Conversions API sends the same events from our store's server.
- What Meta receives: website events such as page views, products viewed, when you finish our questionnaire (only that it happened, not your answers), items added to the cart, checkouts started and purchases (with the order value and the products bought), plus your browser and device details and IP address. To match these events to Meta accounts, we send hashed (scrambled, one-way encoded) contact details from your order, such as your email address, phone number, name and postcode. Meta uses this under its own data policy (facebook.com/privacy/policy).
- What Meta never receives: your journal answers (including the optional injury and faith answers) and any child's details (name, age band, edition or interests). These never leave our build system for advertising. Meta does see which product was bought, for example "Kids' journal", but nothing about the child.
- How to opt out:
- Your browser settings or an ad blocker can block or delete cookies and stop the Meta pixel from loading.
- In Facebook or Instagram, go to Ad preferences (facebook.com/adpreferences) to control how Meta uses activity from other websites to show you ads, including ours.
- Where our Shopify store shows a Your privacy choices (data sharing opt-out) page, currently for visitors in California and other US states, you can use it to opt out of your data being shared for advertising. In those regions the store also honours a Global Privacy Control signal from your browser.
- Where the law of the region you're in requires your consent for these cookies, we'll ask for it first.
- Turning these off doesn't stop the site or the store working, and it won't change your journal.
How long we keep it
- Print files (the PDFs of your book): deleted 90 days after delivery. That window lets us reprint a faulty book.
- Your answers: kept while you have an annual plan or subscription, so each new volume can be built. Then for 12 months after your last order, so you can reorder with one click. After that they're deleted.
- Children's details: deleted 90 days after the last book is delivered, unless the parent asks us to keep them for the next volume.
- Order and payment records: kept for 5-7 years, as Australian tax law requires.
- You can ask us to delete your answers, or your child's, at any time. We'll confirm within 5 business days.
Your choices
- Access and correction: email us and we'll send you what we hold, or fix it.
- Deletion: email us, as above. We'll delete everything we're not required to keep by law.
- Consent: you can withdraw it at any time. If a book hasn't printed yet, we'll cancel it and refund you.
Security
- Answers and print files are stored in a private, encrypted storage bucket.
- The printer gets time-limited links (they expire within 7 days).
- Only the people who check and fulfil orders can see your answers.
